What we collect

Information you give us.

Contact and account details: your name, email, phone number, company and role.
Project content you add: photos, videos, notes, voice recordings, sketches, files, and the people and companies on a project.
Messages you send us.

Information collected as you use the app.

Location, when you allow it, so photos and notes can be stamped with where they were taken.
Device and usage details, such as device type, app version, pages viewed and errors, so we can keep the app working and improve it.

Our website does not use advertising cookies or third-party ad trackers.

How we use it

To run the app: store your projects, build your reports, and share them with the people you choose.
To turn speech into text and to draft documents from your project content.
To sign you in, keep your account secure, and support you.
To fix problems and improve Kanapy.
To contact you about your account, early access, or changes to Kanapy.

We do not sell your personal information, and we do not use your project content for advertising.

Who we share it with

We share information only with service providers that help us run Kanapy, and only what they need to do that work:

Cloud hosting, storage, sign-in and email providers.
AI providers that help draft documents and answers, and turn speech into text.
Analytics providers that help us understand how the app is used.

These providers may use the information only to provide their services to us.

Inside the app, project content is visible to the people on your organization's account and anyone you choose to share it with. We may also share information if the law requires it, to protect people or our rights, or as part of a merger or sale of our business.

How long we keep it

We keep your information while your account is active. If you or your organization close the account, we delete or de-identify it within 90 days, except where we must keep records by law or to settle disputes. Backups clear on their normal schedule.

How we protect it

Data is encrypted in transit and at rest, and access is limited to the people who need it. No system is perfectly secure, but we work to protect your information.

Your choices

Ask to see, correct, export or delete your information, or close your account, by emailing hello@kanapy.com.
Turn off location or microphone access in your phone's settings at any time.

If your organization gave you your account, some requests may go through your organization.

Children

Kanapy is a work tool for adults. It is not meant for anyone under 16, and we do not knowingly collect their information.

Changes

If we change this policy, we will post the new version here and update the date. If a change is significant, we will tell you in the app or by email.
